The Problem

A KZN-based fleet operator was drowning in paperwork. Every vehicle trip generated compliance documents, delivery confirmations, fuel receipts, and incident reports, all processed manually by a team of four. Documents were lost, data entry errors caused compliance flags, and the backlog grew every month.

The company had invested in IoT sensors and GPS tracking across their fleet, but the data sat in dashboards nobody checked. The operational value was trapped behind manual processes.

The Approach

We built an AI-powered document pipeline that connected directly to the fleet's existing IoT infrastructure and telematics data.

The system automatically extracts data from scanned documents using OCR, cross-references it with GPS and sensor data to validate trip records, flags inconsistencies for human review, and generates compliance reports on schedule.

No new hardware. No rip-and-replace. We worked with what they had.

The Outcome

Document processing time dropped by 80%. The four-person admin team was redeployed to higher-value work like route optimisation and client relationships. Compliance submissions went from late-and-stressful to automated-and-on-time.
